Gathering info before a quote
What Velros AI runs

It gathers the signals about quantity, lead time, location, budget, and required files from across your channels, removes duplicates, and sets priorities.

Gathering info before a quote

Velros AI collects the quote details, quantity, lead time, location, budget, and the files you need, and gets a quote out the same day it's asked for.

A quote request arrives as one line, how much is this, but answering it properly needs the quantity, spec, lead time, ship-to region, and whether a formal invoice is needed. A person goes five or six rounds over chat to get all that, and while they do the customer cools and moves to a competitor. Even the info you finally get scatters across the thread, so when you sit down to write the quote you have to ask where was the ship-to again, a second round of wasted effort. A quote request is a clear buying signal, so one delayed reply is lost revenue.

A request like this, handled like this.

We gather the work as it actually arrives, and record what each step is judged against.

  1. Confirm the quote intent

Tell a simple info question from an actual quote request, and identify the quote type early (bulk, business, event).

Judgment When transaction signals like quantity, lead time, business, or invoice appear, move to the quote track right away, since delay is drop-off and fast intake is the point.
  2. Collect the required-info checklist

Gather the item, quantity, spec and options, target lead time, ship-to region, and whether a formal invoice is needed (with the business details) in one structured request.

Judgment Ask it all at once but make it easy to answer. Re-request only the missing items and never ask again for info already given.
  3. Capture the deal conditions

Pull the conditions that move the price (quantity break, rush lead time, out-of-region shipping, printing or customization) into a table.

Judgment Spell out which variables drive the quote, so a person has the material to price it right away.
  4. Confirm tax and billing details

If the buyer is a business or needs a formal invoice, capture the legal business name, billing address, any tax-exemption or resale certificate, and email, and note the payment method.

Judgment Missing billing details mean an invoice has to be corrected later, so capture the essentials at intake.
  5. Hand off the quote-request card

Build a quote-request card holding every collected condition and hand it to the person handling it.

Judgment The closing condition is priced and sent to the customer. Separate info collection from pricing so a person focuses only on the judgment.

If the info is incomplete, we hold the firm quote

We settle the exceptions that actually come up before they do. When a rule doesn't fit, we don't force it through. It goes to a person, with the evidence.

Exception The buyer gives an incorrect or missing tax or business ID

Validate the format only and ask for a correction if it is wrong, and do not guess and fill it in, since a wrong invoice means rework and possible tax exposure.

Exception Just a rough-number request

Even with conditions incomplete, give only a conditional ballpark that states the missing info, under a person's approval, and separate the firm quote to after the info is complete.

Exception A competitive bid or very large special order

Pull it out of the standard quote track and escalate to a person as a separate negotiation. It is a pricing-policy judgment, not something to automate.

Price and billing are confirmed by a person

Anything touching money, contracts, personal data, or the brand is drafted and no further. It sends only after a person approves.

  • The final unit price and total

It is the core margin and policy judgment, so a person always confirms it.

  • Applying a volume discount or special price

It is a price concession that sets a precedent, so it is a person's call.

  • Committing a rush lead time

A person has to vouch for the production and logistics feasibility.

  • Confirming who gets a formal invoice and its contents

A wrong invoice means rework and possible tax exposure, so a person checks it.

  • Setting shipping and incidental costs

Variables like out-of-region shipping and installation are judged by a person.

How you know it worked

Fewer round trips, and how fast we answered

Info-collection round trips

The goal is to shrink five or six chat rounds into one or two structured requests.

Quote response lead time

The more you automate info collection, the more a person only has to drop in the price.

Quote-to-order conversion rate

Complete info and a fast reply lift conversion (varies a lot by industry, so set your own baseline).

Rule

There is no US federal e-invoice mandate and no federal VAT, so no single national deadline governs your invoices. Sales tax is set at the state level, and you generally owe it wherever you have economic nexus after South Dakota v. Wayfair, so the rate and whether tax applies depend on the ship-to state and the item. Capturing the buyer's legal name, billing details, and tax-exemption status at the quote stage prevents rework later. The IRS is the federal tax authority, but it does not run a national sales-tax invoice system.

There is less that a person has to hold on to.

Once the scattered checks and repeat replies are drafted and sorted, your staff can spend the day on review and exceptions, and you look only at the decisions that matter.

Checks pile up on a person.

To put together a quote you keep going back to the customer for the details you need, and the back-and-forth drags on.

With Velros running it

The work arrives ready to go.

It collects the needed items up front and organizes them, so the person in charge goes straight to writing the quote.

What people ask before they hand this over

The things people actually check first about Gathering info before a quote.

We keep re-asking the same things, can that be cut?

We structure the item, quantity, lead time, region, and invoicing into the first reply to collect them at once, and re-ask only the missing items. Collected info accumulates on the card so there is no re-request.

Does AI set the price too?

No. Price is a margin and policy judgment, so a person always confirms it. The system lays out the conditions in a table so it is easy to price.

How are formal invoice requests handled?

At intake we capture the billing essentials up front (legal business name, billing details, tax status, email), so an invoice does not have to be corrected later.
